And they\u2019ve already been publishing a lot. <\/span><a href=\"https:\/\/letter.ly\/how-many-blog-posts-are-published-per-day\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">This data<\/span><\/a><span style=\"font-weight: 400;\"> reveals that we publish 7.5 million of digital content per day. Then again, it\u2019s hardly a surprise when you consider how many content assets brands produce, typically. Hubspot, for example, posts <\/span><a href=\"https:\/\/community.hubspot.com\/t5\/Content-Strategy-SEO\/Hubspot-how-much-content-do-you-publish-on-average-in-a-year\/m-p\/212050\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">one post per day<\/span><\/a><span style=\"font-weight: 400;\">, apart from weekends, to their Academy blog alone. And that does not include their other blogs, and other marketing channels\u2026<\/span><\/p><p><span style=\"font-weight: 400;\">Data like this suggests that, at any given moment, brands like yours can easily many different digital assets in production. Not to mention a whole library of those that have gone through their entire asset lifecycle.\u00a0<\/span><\/p><p><b>How do you keep track of it all?\u00a0<\/b><\/p><p><span style=\"font-weight: 400;\">The answer lies in understanding the digital asset lifecycle, and utilising digital asset management to monitor the entire process.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Now, I understand that it\u2019s a lot to cover, so let\u2019s start at the beginning.\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/section>\n\t\t\t\t<section class=\"elementor-section elementor-top-section elementor-element elementor-element-08b6932 elementor-section-boxed elementor-section-height-default elementor-section-height-default\" data-id=\"08b6932\" data-element_type=\"section\" data-e-type=\"section\">\n\t\t\t\t\t\t<div class=\"elementor-container elementor-column-gap-default\">\n\t\t\t\t\t<div class=\"elementor-column elementor-col-100 elementor-top-column elementor-element elementor-element-832b996\" data-id=\"832b996\" data-element_type=\"column\" data-e-type=\"column\">\n\t\t\t<div class=\"elementor-widget-wrap elementor-element-populated\">\n\t\t\t\t\t\t<div class=\"elementor-element elementor-element-d3206cb elementor-widget elementor-widget-heading\" data-id=\"d3206cb\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">What exactly is the digital asset lifecycle?<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-5945201 elementor-widget elementor-widget-text-editor\" data-id=\"5945201\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">The term &#8211; <\/span><i><span style=\"font-weight: 400;\">digital asset lifecycle<\/span><\/i><span style=\"font-weight: 400;\"> &#8211; refers to a process (or a flow, as I prefer to call it,) that each digital asset must go through during its lifespan.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">The flow, typically, matches all the common stages of the content production process (<\/span><i><span style=\"font-weight: 400;\">more on this in great detail shortly<\/span><\/i><span style=\"font-weight: 400;\">).\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Because of that, companies can easily track and monitor each asset as it goes through production.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">What\u2019s more, because the digital asset lifecycle process is so intertwined with content production, it helps organisations eliminate chaos in marketing and content-related campaigns.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">To explain it more fully, let me show several examples of issues that typically arise in content production, if you try to manage it without a clearly defined digital asset lifecycle management process.\u00a0<\/span><\/p><p><b>Wrong assets being used to create content.<\/b><span style=\"font-weight: 400;\"> Unless you have a system to manage assets across their entire lifecycle in place, you risk that someone would access and use a wrong version of a file in their project. It might be as simple as using an older version of a file, but also as significant as using a digital file without copyright permission (<\/span><i><span style=\"font-weight: 400;\">more on this in just a moment<\/span><\/i><span style=\"font-weight: 400;\">.)<\/span><\/p><p><b>Wrong assets being routed to relevant marketing channels.<\/b><span style=\"font-weight: 400;\"> Similarly, unless you\u2019re able to monitor assets across their entire lifecycle, you risk having wrong files sent to the content management system, social media, or another channels.\u00a0<\/span><\/p><p><b>Copyright issues. <\/b><span style=\"font-weight: 400;\">Finally, without digital asset lifecycle management, you risk files being used without copyright, after the license agreement has already expired. And needless to say, that\u2019s a serious issue that could, potentially, cause harm to the brand.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">By understanding how the digital asset lifecycle works, and being able to monitor assets across the entire process, you can greatly reduce (or in many cases, completely eliminate) such issues and more from occurring.\u00a0<\/span><\/p><p><i><span style=\"font-weight: 400;\">(Or to put it more bluntly, digital asset lifecycle management creates a single source of truth about all your assets.)<\/span><\/i><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/section>\n\t\t\t\t<section class=\"elementor-section elementor-top-section elementor-element elementor-element-26c8310 elementor-section-boxed elementor-section-height-default elementor-section-height-default\" data-id=\"26c8310\" data-element_type=\"section\" data-e-type=\"section\">\n\t\t\t\t\t\t<div class=\"elementor-container elementor-column-gap-default\">\n\t\t\t\t\t<div class=\"elementor-column elementor-col-100 elementor-top-column elementor-element elementor-element-c5ad82a\" data-id=\"c5ad82a\" data-element_type=\"column\" data-e-type=\"column\">\n\t\t\t<div class=\"elementor-widget-wrap elementor-element-populated\">\n\t\t\t\t\t\t<div class=\"elementor-element elementor-element-22b9e98 elementor-widget elementor-widget-heading\" data-id=\"22b9e98\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">So, what are the stages of the digital asset lifecycle?<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-981172f elementor-widget elementor-widget-text-editor\" data-id=\"981172f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><i><span style=\"font-weight: 400;\">A quick note before we begin<\/span><\/i><span style=\"font-weight: 400;\"> &#8211; What I\u2019m about to show you are the most common stages of the content production process. These are in line with the process most organisations use to produce various digital assets. Having said that, there might be additional stages that your organisation uses. Create\n<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-0146c1a elementor-widget elementor-widget-text-editor\" data-id=\"0146c1a\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">This, as the name suggests, is a stage at which assets are created. Typically, this process includes such elements as:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Briefing and outlining the general purpose of the asset.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ideation and planning stage that helps teams understand the brief better and convert it into an actionable plan to create the asset.\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Asset creation. This stage covers all creative work required to produce the initial version of the asset. Depending on the project, this might include creating a prototype, a first draft (in case of a text-based asset,) or the first iteration of a design or visual.\u00a0<\/span><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-e067139 elementor-widget elementor-widget-text-editor\" data-id=\"e067139\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">Note that this process doesn\u2019t conclude with the final version of an asset. This stage is all about getting from the brief to the first iteration.\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-3fd946b elementor-widget elementor-widget-heading\" data-id=\"3fd946b\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">2. Proof<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-3905182 elementor-widget elementor-widget-text-editor\" data-id=\"3905182\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">Having the first iteration of an asset launches the second stage of the process &#8211; <\/span><a href=\"https:\/\/www.celum.com\/en\/blog\/what-is-online-proofing\/\"><span style=\"font-weight: 400;\">online proofing<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">At this stage, the asset goes through several rounds of feedback and revisions, until the final version is signed off by appropriate stakeholders.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">The proofing process involves four stages:<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-a915240 elementor-widget elementor-widget-image\" data-id=\"a915240\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"image.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t<img decoding=\"async\" width=\"512\" height=\"160\" src=\"https:\/\/www.celum.com\/en\/wp-content\/uploads\/sites\/2\/2023\/01\/unnamed-1.png\" class=\"attachment-large size-large wp-image-26551\" alt=\"\" srcset=\"https:\/\/www.celum.com\/en\/wp-content\/uploads\/sites\/2\/2023\/01\/unnamed-1.png 512w, https:\/\/www.celum.com\/en\/wp-content\/uploads\/sites\/2\/2023\/01\/unnamed-1-300x94.png 300w\" sizes=\"(max-width: 512px) 100vw, 512px\" \/>\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-3bc233d elementor-widget elementor-widget-text-editor\" data-id=\"3bc233d\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<ul><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Proof.<\/b><span style=\"font-weight: 400;\"> This is when an initial file or design idea is shared with all the other stakeholders involved in the review and approval process.\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Notification. <\/b><span style=\"font-weight: 400;\">The proofing platform will, then, notify those people about the new proof available for review.\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Review &amp; Collaboration.<\/b><span style=\"font-weight: 400;\"> This is when stakeholders share their insights and feedback on the draft. This usually involves leaving comments and suggestions on a particular file revision. These are reviewed further, in turn, and converted into actionable insights to drive another iteration of the file. <\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Sign-off &amp; Approval. <\/b><span>Once the feedback has been acted on, relevant stakeholders can approve and sign off the file.<\/span><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-4e1916f elementor-widget elementor-widget-heading\" data-id=\"4e1916f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">3. Route<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-f8ecc4e elementor-widget elementor-widget-text-editor\" data-id=\"f8ecc4e\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">Routing stage is all about monitoring how the finished asset is being used. In practical terms, it typically involves routing (hence the name!) the file to relevant channels &#8211; The website (through a content management system,) social media, printed publications, and any other channels where the file will be put to use.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">But although this stage of the process might seem pretty straightforward, it\u2019s also one where many potential issues arise. And it\u2019s where having a dedicated system to manage routing and integration pays off immensely.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Here\u2019s why:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Without a system, it\u2019s easy for files to get accessed by unauthorised users, and routed to wrong destinations.\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Similarly, wrong versions of a file might end up being used in marketing campaigns. It can be something as simple and easily fixable as an image in the wrong sise being routed to the website.
