OK, it also sounds very scientific, but also, a little bit familiar, right?\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Well, that\u2019s because you encountered it already, in high school. If you remember, your biology teacher would talk about taxonomy and how we use it to name, define, and classify organisms. You, most likely, used it to identify animals or plants and understand relationships between them.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">The \u201c<\/span><i><span style=\"font-weight: 400;\">official<\/span><\/i><span style=\"font-weight: 400;\">\u201d definition supports that, explaining <\/span><a href=\"https:\/\/en.wikipedia.org\/wiki\/Taxonomy\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">taxonomy<\/span><\/a><span style=\"font-weight: 400;\"> as:<\/span><\/p><p><i><span style=\"font-weight: 400;\">\u201c[&#8230;] a scheme of classification, especially a hierarchical classification, in which things are organised into groups or types.\u201d<\/span><\/i><\/p><p><span style=\"font-weight: 400;\">But note that the definition doesn\u2019t actually say, organisms, or animals, or bacteria, etc.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">It says <\/span><i><span style=\"font-weight: 400;\">things<\/span><\/i><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">That\u2019s because taxonomy goes beyond just categorising animals, plants, or other organisms. We can use it to classify almost everything, in fact. Taxonomy is what helps us navigate through knowledge, for example. Or find content that we need. Without it, teams often have to resort to using the search feature of the DAM, and come up with and refine search queries to locate their assets. <\/span><\/p><p><span style=\"font-weight: 400;\">But with a taxonomy, they will know how you\u2019ve organised assets. Therefore, locating a particular logo or another file is a matter of navigating to a relevant place in the system. So, what you\u2019ll see below is a process that we\u2019ve seen to work best to develop a digital asset management taxonomy. It\u2019s something we\u2019ve used, and a framework we recommend to our clients too.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">So, without any further ado, here are five best practices for building a taxonomy for your digital asset management (DAM) system. <\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d72a894 elementor-widget elementor-widget-heading\" data-id=\"d72a894\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">#1. We might get similar results but any closer inspection reveals that we got them using different ways.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Why is this important? Well, you\u2019re building a DAM taxonomy for quite a number of people, possibly. To make it relevant and easy for them to use, you should first understand how they look for digital assets today. Observe your colleagues. Ask them about their ways of locating files. Maybe even ask them to find a particular asset you\u2019ve hidden in the DAM, and observe how they do it.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Naturally, I don\u2019t mean that you should base your taxonomy on their approaches. It\u2019d be quite impossible, actually. However, understanding how those people search for assets, or how they think about categorising those files, may reveal insights that will help you when developing your taxonomy.\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-a6924a0 elementor-widget elementor-widget-heading\" data-id=\"a6924a0\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">#2. For example, your organisation might not be engaging in video marketing yet. But you should know if there are plans to do so in the future. This way, you can include those assets in your taxonomy right away. When the time comes, your DAM will be set up for those too, and you won\u2019t have to adjust your taxonomy then.\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-562534e elementor-widget elementor-widget-heading\" data-id=\"562534e\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">#3. Identify top categories<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-3ee53db elementor-widget elementor-widget-text-editor\" data-id=\"3ee53db\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">Note &#8211; This is what I consider the most effective way to start developing a taxonomy. Because no matter how much research you do, it\u2019s still almost impossible to figure out where to begin.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">So, I recommend you do this:\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Look at your research so far &#8211; your audit results, and notes about user behavior &#8211; and try to work out top categories that you could organise your assets by. Now, these categories could be based on almost anything you want:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Types of digital assets you have<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Their use cases<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Specific asset characteristics<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Most commonly used search terms by your colleagues, etc.\u00a0<\/span><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-fa005f6 elementor-widget elementor-widget-text-editor\" data-id=\"fa005f6\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">It\u2019s really up to you to decide how you want to categorise your assets. But the key thing is to figure out those initial categories. <\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-29d43b7 elementor-widget elementor-widget-text-editor\" data-id=\"29d43b7\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">These top categories will determine your taxonomy structure.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Why? For one, because these categories will affect what phrases users will be using to search for assets, for example. If you base categories on asset types, then, it\u2019s likely to expect users to eventually get used to incorporating phrases like \u201c<\/span><i><span style=\"font-weight: 400;\">videos<\/span><\/i><span style=\"font-weight: 400;\">\u201d or \u201c<\/span><i><span style=\"font-weight: 400;\">logo<\/span><\/i><span style=\"font-weight: 400;\">\u201d in their search queries.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-86ae6c1 elementor-widget elementor-widget-heading\" data-id=\"86ae6c1\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">#4. Organise the taxonomy structure<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-41e2980 elementor-widget elementor-widget-text-editor\" data-id=\"41e2980\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">The next step in building your taxonomy is to work on its structure. This mostly involves defining two things:<\/span><\/p><p><span style=\"font-weight: 400;\">One is organising categories into parents and children. The other, establishing file naming conventions.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Let\u2019s go through them in turn, then.<\/span><\/p><p><b>Organising categories.<\/b><span style=\"font-weight: 400;\"> In the previous step, you developed top-level (<\/span><i><span style=\"font-weight: 400;\">parent<\/span><\/i><span style=\"font-weight: 400;\">) categories. As the next step, you need to divide them into relevant sub-categories (child categories). These child categories will help you further define each asset, and make it easier to find.<\/span><\/p><p><span style=\"font-weight: 400;\">So, what do I mean by child categories? Let me illustrate that with some examples.<\/span><\/p><p><span style=\"font-weight: 400;\">For instance, your category \u201cBrand assets\u201d could include files that you could also organise as \u201clogos,\u201d \u201cbranded images,\u201d \u201cstaff images,\u201d and into many other child categories.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">A \u201cproduct assets\u201d category could be broken into sub-categories such as \u201cproduct videos,\u201d \u201cproduct images,\u201d \u201cproduct one-page sheets,\u201d and so on.<\/span><\/p><p><span style=\"font-weight: 400;\">The key to this aspect of building a DAM taxonomy is to look at each category, and consider what assets would fit there. Then, look at similarities between those assets to identify how you could organise that asset library into smaller sections (or folders, basically.)<\/span><\/p><p><b>Establishing file naming conventions<\/b><span style=\"font-weight: 400;\">. Secondly, you should implement a universal way to name each asset. Your naming convention might relate to categories (i.e., you could use the category name followed by individual file identifiers like \u201c<\/span><i><span style=\"font-weight: 400;\">company_logo_[date created]<\/span><\/i><span style=\"font-weight: 400;\">\u201d.) Or it could relate to the actual file purpose.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Your file naming convention will help teams navigate and locate assets in several ways:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">They\u2019ll create a common vocabulary to use when searching for assets<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">File naming conventions will also help locate the correct version of the asset\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Finally, naming conventions will help with metadata mapping, and might even influence how you describe the metadata for each asset.\u00a0<\/span><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d4e318e elementor-widget elementor-widget-heading\" data-id=\"d4e318e\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">#5. Document the taxonomy and launch<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-84627f7 elementor-widget elementor-widget-text-editor\" data-id=\"84627f7\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p><span style=\"font-weight: 400;\">As the final step, create an exhaustive documentation of the new taxonomy. Explain your categories, their subcategories, and how they relate to one another. Tell your colleagues about the naming conventions you decided to implement.
